Yonkers Community Action Program (YCAP) is seeking a highly organized, customer-focused, and bilingual (English/Spanish) Program Assistant to support agency-wide programs and administrative operations. This is an excellent
opportunity for a motivated professional who enjoys helping people, supporting community programs, and working in a collaborative nonprofit environment.The Program Assistant serves as a key member of our team, providingadministrative, operational, and program support across multiple departments while assisting agency leadership with daily operations, special projects, client services, outreach activities, and community engagement efforts.
This position is currently part-time at 21 hours per week, withthe potential to transition to a full-time 35-hour-per-week positionbased on agency needs, performance and funding.
Essential Responsibilities
Administrative Support
- Provide administrative assistance to agency leadership and program staff.
- Answer and route incoming phone calls, emails, and inquiries.
- Greet clients, visitors, and community partners.
- Schedule appointments, meetings, and program activities.
- Prepare correspondence, reports, spreadsheets, presentations, and other documents.
- Maintain electronic and paper filing systems.
- Assist with copying, scanning, data entry, and document management.
- Order and maintain office and program supplies.
Program Support - Assist with participant intake, enrollment, and application processes.
- Maintain participant records and databases.
- Support program scheduling, communications, and reporting requirements.
- Assist with compliance monitoring, audits, and documentation collection.
- Provide support for agency-wide initiatives and special projects.
Client & Community Engagement
- Deliver exceptional customer service to clients and community members.
- Assist clients in completing forms and program paperwork.
- Provide information regarding agency services and community resources.
- Coordinate referrals and follow-up communications.
Event & Outreach Support
- Assist with agency events, trainings, workshops, and community outreach activities.
- Support event registration and participant communications.
- Help with event setup, materials organization, and logistics.
- Participate in community events as assigned.
Qualifications
Required:
- High School Diploma or GED.
- Fluency in both English and Spanish (spoken and written).
- Strong customer service, communication, and organizational skills.
- Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint, and Teams.
- Ability to manage multiple priorities while maintaining attention to detail.
- Ability to maintain confidentiality and professionalism.
Preferred
- Associate's Degree in Business Administration, Human Services, Office Administration, Public Administration, or a related field.
- Two (2) or more years of administrative support, customer service, office management, or program support experience.
- Experience working in a nonprofit, community-based, educational, or human services organization.
- Valid New York State Driver's License.

Physical Requirements
